Remote / East Coast US opportunity for a Project Director to join a fast growing brand experience and event agency... What's not to love! The Project Director will team up with the Executive Producer to keep the day-to-day project world running smoothly. While the Executive Producer steers big-picture items, like cross-team collaboration, client relationships, strategy, and creative direction, you’ll be the go to hero for the operational heartbeat of the event. Think of yourself as the person who helps keep the whole crew moving in the same direction, with clear communication and a steady, organised flow across every department. Responsibilities Partner closely with the Executive Producer to keep everyone in the loop on what’s happening, what’s due, and who’s doing what.
Help divvy up tasks to team members and suppliers so everyone knows their part in the adventure.
Keep project documentation tidy and timelines accurate as your organisational superpowers shine here.
Own the critical path and help make sure all key milestones are hit right on time.
Be the friendly first point of call for the event team whenever questions pop up.
Coordinate logistics and resources across creative, technical, and operations teams so everything stays on track and runs like clockwork.
Set up new projects in internal systems (like Asana or Procim) and get all processes, timelines, and resources activated for the team.
Work with the client to figure out the best ways to communicate and collaborate, aligning with their preferred tools and workflows.
Prep and share agendas for client meetings, team check-ins, and internal reviews, helping conversations stay focused and productive.
Join meetings, capture key decisions and action points, and send out clear, helpful notes so everyone knows what’s next.
Create, manage, and track project budgets in real time to keep everything financially healthy.
Keep an eye on profit margins and spot any chances to upsell smartly.
Make sure the budget stays fresh and accurate, updating changes and sharing financial updates with the Executive Producer, AD/AM, and key stakeholders.
Take ownership of change orders and guide them through smoothly.
Track project milestones, keeping deadlines on your radar and the team informed of progress or potential delays.
Manage logistics for team travel and accommodation or delegate where needed therfore ensuring everything is booked on time and within budget.
Handle flights, hotels, and transport for on-site events or site visits with stress free efficiency.
Help create a seamless, positive experience for the client, even when last minute surprises pop up.
Support producers and the wider event team in the daily rhythm of event management. Experience and a passion for B2B brand experiences, conferences, exhibitions, launches and more is a must.
